About this calculator
A commercial invoice is the seller's bill to the foreign buyer and the single most important customs document. Customs in the destination country assesses duties and taxes on its value, the bank checks it when payment is by letter of credit, and the exporter's declaration refers to its number and value. An invoice that is incomplete or inconsistent with the packing list and B/L can hold up both payment and customs release.
This generator builds an invoice with the sections buyers and authorities usually ask for: seller and buyer details, invoice number and date, contract/PO number, Incoterms with the named place (for example FOB Tanjung Priok), currency, payment terms, country of origin, vessel or flight and ports of loading and discharge. Goods lines hold the description, HS code, quantity, unit and unit price; each line amount is rounded to the currency's decimals, as on a printed invoice. Below the lines you can add a discount, freight, insurance and other charges, for example on a CFR or CIF invoice.
The total is calculated automatically and comes with the amount in words in English ("SAY: US DOLLARS … ONLY") or Indonesian (terbilang), which L/Cs often require. Download it as Excel (.xlsx) or print an A4 PDF with a signature block. Make sure the descriptions and values follow the contract and the L/C terms; this generator helps with the format, it does not determine the customs value.
Worked example
An invoice in USD with two lines:
- 120 pcs × USD 12.35 = USD 1,482.00
- 3 sets × USD 99.999 = 299.997 → rounded to USD 300.00
Subtotal USD 1,782.00, discount USD 82.00, freight USD 250.00 (CFR invoice) → total USD 1,950.00, total quantity 123.
Amount in words: SAY: US DOLLARS ONE THOUSAND NINE HUNDRED FIFTY ONLY. A total of USD 1,234.50 reads SAY: US DOLLARS ONE THOUSAND TWO HUNDRED THIRTY-FOUR AND CENTS FIFTY ONLY.
